One of the biggest mistakes I see creators make is thinking that hiring help will automatically fix their business.

You hit a point of burnout (too many admin tasks, customer emails and deadlines) and say:

So you bring on a virtual assistant…

…only to find yourself more stressed than before.

The truth is:

🌵 You can’t delegate chaos. Hiring a VA won’t fix your business if you don’t implement systems first.

As a DBM (digital business manager), one of my jobs is to help creators get ready to outsource the right way.

That starts with one thing: a simple business system to organize your operations before you outsource.

When you have this in place, hiring help actually frees up your time and energy (instead of draining more of it).

Here’s the exact 5-step system I use with my clients to prepare their business for stress-free outsourcing 👇

✅ Step 1 – Do a Task Audit

Start by listing everything you currently do — even the small tasks that you do quickly like scheduling videos or responding to customer emails.

You can’t delegate what you can’t see.

✅ Step 2 – Do a Time Audit

Next, document how long each task takes and how often you need to do it (daily, weekly, monthly, etc).

This shows the true cost of your time and helps you hire for the right number of hours instead of guessing.

✅ Step 3 – Decide What to Delegate

Not everything can or should be delegated. Start with the tasks that:

• Drain your energy
• Don’t require your unique expertise
• Are repetitive and easy to document

✅ Step 4 – Match Tasks to Owners

Virtual assistants are extremely valuable members of an online business but not all tasks belong to a VA.

For example:

• Scheduling posts → VA
• Editing videos → video editor
• Setting up systems → DBM
• By matching tasks to the right level of expertise, you avoid overpaying or overwhelming your team.

✅ Step 5 – Document Everything

The last step is to record your screen as you complete your tasks.

These recordings will become clear, simple SOPs (Standard Operating Procedures) for each task you plan to delegate.
