25+ Notion shortcuts, tips and best practices that will make your life ridiculously easy


If you’ve been using Notion for a while, you’ve probably mastered the basics: pages, databases, maybe even a few fancy automations.

But because Notion can do so much, it’s easy to miss the little shortcuts and tweaks that make a big difference in your overall workflow.

This week, I’m sharing my favorite Notion tips and shortcuts that will help you work faster, more efficiently, and with less stress.

Shortcuts ⌨️

Pages

  • Headings - number sign followed by a space
    • Heading 1: # or /h1
    • Heading 2: ## or /h2
    • Heading 3: ### or /h3
  • Apply last used color settings → Highlight block/text then: Cmd+Shift+H
  • Open @-mentioned page in side peek → Option+Click on the mentioned page
  • Go back to previous page → Cmd+[ . Use Cmd+] to go forward
  • Close page → Escape
  • Open a mentioned page in a new tab → Cmd+Click on the mentioned page
  • Quick search → Cmd+K or Cmd+P
  • Open search result in new tab → Cmd+Enter while page is highlighted in quick search
  • Toggle between dark and light mode → Cmd+Shift+L (also works in Notion Calendar)

Databases

  • Bulk select pages in table view via the checkbox on the left edge of the first database property (great for deleting demo data in templates)
  • Freeze columns by hovering over the left edge of the first property in table view, then dragging the blue bar that appears horizontally
  • Collapse checkbox properties to save space (hover the property icon to see it’s name)
  • In table view, bulk-fill property values by dragging the little blue circle that appears at the bottom right of a cell vertically
  • Use bulk edit checkboxes to apply a value to multiple pages at once
  • Navigate database pages in side peek
    • Control+Shift+J (down), Control+Shift+K (up)
  • Quickly create a new database page in table view without clicking “New page” every time → Shift+Enter
  • In calendar view, click + drag to move multiple pages at once
  • Drag pages in the “no date” menu into the calendar to apply it’s date
  • For habit trackers, title pages with @Today instead of manually typing the date
  • Hide database page icons for a cleaner look

Best Practices for your Workspace ✨

Helpful Tips You Might Not Know đź’ˇ

  • It’s now easy to add columns to callout blocks and heading toggles
    • Inside a callout or heading toggle, use “/col” to select the number of columns that you want to insert.
  • To move a database dashboard out of a callout box, add an empty block to the top so the block handle appears.
  • Change your Notion domain name ASAP!
    • Sidebar → settings → public pages → click the 3 dot menu next to the page Status → select “update domain name” and change it to your name or your business name.
